VIVA ILL Community Forum 2008 Report

Approximately ninety participants from across Virginia attended the 2008 VIVA ILL Community Forum on July 18, 2008 at Sweet Briar College.  Members and friends of the ILL Subcommittee who arranged the meeting included:   Dan Wilson, Elizabeth Teaff, Stuart Frazer, Shauna Hunter, Bethany Wright, Virginia Kinman, Joe Malloy and Jim Verdini.

8:30-9:15      Registration, Continental breakfast

 

9:15-9:30      Welcome, introductions, recognitions (Dr. Johathan Green & Joe Malloy)

 

The group was privileged to hear Dr. Jonathan Green, Dean of the College, Vice President for Academic Affairs, at Sweet Briar College personally welcome the group and speak about the important role interlibrary loan plays in supporting scholarship and research.  Joe Molloy also welcomed the group and introduced a number of new folks attending the Forum for the first time and others who are retiring.

 

9:30-10:20    Introduction to resources and services at the Library of Virgina (Suzy Szasz Palmer)

 

Suzy Szasz Palmer, Director of Research and Information Services Division at the Library of Virginia, spoke on services the Library of Virginia provides to VIVA libraries.  She emphasized the Library of Virginia's microfilmed Virginia public records, newspapers, and genealogical materials.

10:30-11:10  Community discussion on best practices for international ILL (Stuart Frazer & Elizabeth Teaff): 

 

Stuart discussed major international ILL suppliers such as the British Library and National Library of Australia, and options for acquiring foreign dissertations.  He also touched on some of the issues involved in agreeing to be an international lender.

 11:15-12:15   Analyzing interlibrary loan: practical scenarios (Russell Palmer, SOLINET)

 

Russell provided an overview of WorldCat Resource Sharing statistics and OCLC's WorldCat Collection Analysis product.

1:15-2:15       Where are we with Odyssey?  (Stuart Frazer and Elizabeth Teaff)

 

Elizabeth presented a brief overview of Odyssey and an update on the number of VIVA libraries using it.  The number has grown quite a bit since last year.  A group discussion followed where a number of attendees spoke about their experiences implementing Odyssey.  Unfortuantely, some of those attempting to implement Odyssey ran into various problems that have prevented them from doing so.  Some of these problems involved difficulties with getting campus IT staff to open needed ports or troubleshoot networking problems.  Most libraries who are using the "trusted sender" option in Odyssey say it is working well.  There was also some discussion of how libraries can use photocopier/scanners in lieu of traditional scanners.

2:15-2:45      Solinet Update (Russell Palmer):

 

Russell updated everyone on a group of Indiana libraries who are joining Solinet and also a possible Solinet / Palinet merger.  He also reviewed the Soline and SO6 resource sharing groups and explained recent changes to the "reasons for no" options on WorldCat Resource Sharing.

2:45-3:00      VIVA Update (Kathy Perry and Mary Sellen) 

 

3:00-3:15      VIVA ILL Goals for 2007/2008 (Stuart Frazer)

 

Suggestions:

1. Continue encouraging the transition from Ariel to Odyssey

2. Explore ways to assist libraries experiencing network related problems implementing Odyssey to better communicate with campus IT people

3. Develop the mentoring page on the VIVA ILL Wiki

4. Explore whether VIVA can assist/encourage libraries to improve the accuracy of their serials holdings information on OCLC.  This may involve reactivating the VIVA cataloging group.

5. Communicate issues related to lending electronic articles via ILL (cataloging & permissions)

6. Publicize the list of VIVA E-journals that can be used to fill ILL requests

7. Discuss how libraries can use Copyright Clearance Center

Jim mentioned that the Forum has been held at Sweet Briar College for the last several years and asked attendees to indicate on their evaluation forms whether they would like to, perhaps, hold the meeting in a different region of the state next year.
