I print each Interlibrary Loan Requests as it comes in
and keep each in my Pending file until the book is returned. I do

We keep them in a file cabinet for several years -- then we move them to boxes that we keep in a closet for a few more years. I don't know if there's any kind of guideline anywhere about this, though. That was the policy here when I arrived a couple of years ago. Before that, I was at the UVA Law Library and I kept the completed requests for the fiscal year only.

We keep the paper files for three fiscal years at TCC. That was the policy here when I arrived. I would also be interested in knowing if there is a required period of time. It's a lot of paper to store when you can pull up the records electronically.

I believe here's the answer - Records Retention and Disposition Schedule General schedule No. 22 - Library Records. The Series Number that answers how long to keep the records are numbers 005647, 005648, 005649, and 005650. Perhaps this Records Retention can be incorporated into the ILL Guidelines.

Is this the right schedule? http://www.lva.virginia.gov/agencies/records/sched_state/GS-109.PDF
That says: "Retain 1 year or until reimbursement cycle completed, whichever is greater; then destroy." We keep the records a lot longer -- at least 5 years.
